Tasks & Subtasks

Tasks are the fundamental unit of work in Para. Every project consists of tasks that need to be completed.

Creating a Task

  1. Navigate to a Project, Area, or Resource
  2. Click the Tasks tab
  3. Click Add Task
  4. Fill in the task details
  5. Click Create

Task Fields

Field Description
Title A clear, actionable description
Description Additional details (supports rich text)
Status To Do, In Progress, Blocked, or Done
Priority Low, Medium, or High
Due Date When the task should be completed

Task Statuses

To Do

Tasks that haven't been started yet. This is the default status for new tasks.

In Progress

Tasks you're actively working on. Limit these to maintain focus.

Blocked

Tasks that can't proceed due to external dependencies. Add a comment explaining what's blocking the task.

Done

Completed tasks. These can be hidden from the view if desired.

Subtasks

Break complex tasks into smaller, manageable subtasks.

Creating Subtasks

  1. Open a task
  2. Scroll to the Sub-tasks section
  3. Click Add Sub-task
  4. Enter the subtask details

Subtask Features

  • Subtasks inherit the parent's project
  • Each subtask can have its own status
  • Progress is shown on the parent task (e.g., "2/5 subtasks")
  • Completing all subtasks doesn't automatically complete the parent

Recurring Tasks

Set tasks to repeat automatically on a schedule.

Setting Up Recurrence

  1. Create or edit a task
  2. Set a Due Date (required for recurring tasks)
  3. Click the Repeat section
  4. Choose frequency: Daily, Weekly, Monthly, or Yearly
  5. Configure additional options

Recurrence Options

Frequency Options
Daily Every X days
Weekly Every X weeks, on specific days
Monthly Every X months
Yearly Every X years

How Recurrence Works

When you mark a recurring task as done:
1. A new task is automatically created
2. The new task has an updated due date
3. The original task remains done
4. A journal entry is created

Ending Recurrence

You can set recurrence to end:
- Never - Continues indefinitely
- On date - Stops after a specific date
- After X occurrences - Stops after a number of completions

Task Views

Kanban Board

The Kanban view shows tasks organized by status in columns:

Drag and drop tasks between columns to change their status.

Card Information

Each kanban card displays at a glance:
- Title and due date (top line)
- Description preview (first 50 characters, desktop only)
- First tag with +N indicator if more tags exist
- Subtask progress (e.g., "2/5")

On mobile devices, the description preview is hidden to keep cards compact.

List View

The list view shows tasks in a compact format, sorted by:
- Due date
- Priority
- Status

On mobile devices, list view is always used.

List Item Information

Each list item displays at a glance:
- Title with recurring badge (↻) if applicable
- Description preview (first 50 characters, desktop only)
- Status badge, due date, first tag with +N indicator, and subtask progress

On mobile devices, the description preview is hidden to keep items compact.

Priority Levels

High Priority

Urgent tasks that need immediate attention. Shown in red.

Medium Priority

Important but not urgent tasks. Shown in yellow.

Low Priority

Tasks that can wait. Shown in blue.

Comments

Add comments to tasks for discussion and updates.

  1. Open a task
  2. Scroll to the Comments section
  3. Type your comment
  4. Click Add Comment

Comments are useful for:
- Progress updates
- Questions and discussions
- Explaining blockers
- Linking to relevant resources

Moving Tasks

Transfer tasks to a different project:

  1. Open the task
  2. Click the Move button (or use keyboard shortcut)
  3. Search for the destination project
  4. Select the destination
  5. The task and its subtasks will be moved

Best Practices

  1. Start with a verb - "Write report" not "Report"
  2. Be specific - "Call dentist for Tuesday appointment" not "Dentist"
  3. One action per task - Split complex work into subtasks
  4. Set realistic due dates - Leave buffer time
  5. Use priorities sparingly - If everything is high priority, nothing is
  6. Review regularly - Update statuses and clear done tasks
