Public Share Links

Share individual tasks, notes, and files with anyone via a public link.

What is Public Sharing?

Public sharing creates a unique URL that anyone can use to view a specific item. No account is required to view shared content.

What Can Be Shared

  • Individual tasks (including subtasks)
  • Individual notes (including attachments)
  • Individual files

Note: You cannot share entire projects publicly. Use Collaboration for that.

  1. Open a task, note, or file
  2. Click the Share button
  3. Enter a name for the link (e.g., "Client Review")
  4. Optionally set an expiration date
  5. Click Create Share Link
  6. Copy the generated URL

Give each link a descriptive name:
- "Client review - v2"
- "Board presentation"
- "Contractor reference"

Names help you manage multiple links later.

Expiration Dates

Set when the link should stop working:
- Leave blank for no expiration
- Choose a specific date
- Links expire at midnight on the selected date

  1. Go to the project's Collaborate tab
  2. Scroll to Shared Links
  3. See all share links grouped by type

Temporarily disable a link without deleting:
1. Find the link in Shared Links
2. Click the toggle to disable
3. Link shows "Disabled" status
4. Toggle again to re-enable

Permanently remove a link:
1. Find the link in Shared Links
2. Click Delete
3. Confirm deletion
4. Link stops working immediately

What Viewers See

Shared Tasks

  • Task title and description
  • Status and priority
  • Due date
  • All subtasks (recursively)
  • Comments

Shared Notes

  • Note title
  • Full content with formatting
  • File attachments (downloadable)

Shared Files

  • File preview (images, PDFs, etc.)
  • Download button
  • File metadata (size, type)

What They Don't See

  • Other items in the project
  • Your account information
  • Edit capabilities
  • Other share links

Security Considerations

Before Sharing

⚠️ Important: Anyone with the link can view the content.

  • Don't share sensitive information
  • Consider who might forward the link
  • Set expiration dates for temporary access
  • Use descriptive names to remember why you shared

Revoking Access

If you need to stop access:
1. Disable the link immediately
2. Or delete the link permanently
3. Previously shared content may be cached

Rate Limiting

Public share pages are rate-limited to prevent abuse:
- 30 page views per minute per IP
- 10 downloads per minute per IP

Use Cases

Client Reviews

Share a task or note for feedback:
1. Create the content
2. Share with expiration after review deadline
3. Client views without needing an account
4. Delete link after review complete

Public Documentation

Share reference materials:
1. Create a note with instructions
2. Share without expiration
3. Update the note as needed
4. Shared link always shows latest version

File Distribution

Share files with external parties:
1. Upload the file
2. Create a share link
3. Send the link via email
4. Recipient downloads directly

You can create multiple share links for the same item:
- Different expiration dates
- Different purposes
- Revoke individually

Example:
- "Team review - expires Friday"
- "Archive copy - no expiration"

- Clean, minimal design
- Mobile-responsive layout
